School calendar, holidays and events

Put term dates, holidays, breaks and events on one calendar, choose who sees them and whether the school is closed, and tell parents.

The school calendar is one place for everything with a date: public holidays, school breaks, meetings, sports days, trips and exams. It also tells the rest of ShuleOS when the school is closed, so attendance, the timetable and the lesson report do not expect lessons that day.

See the calendar

Open Calendar → Calendar. You see a month at a time. Each day shows what is happening, including exam papers ("Term 3 Mid-term: 27 papers") and staff on leave. Click Today to jump back to today.

The school calendar

Add an event

  1. Click Add event on the calendar, or open Calendar → Events and Holidays and click Add event.

  2. Fill in the form:

Field What to enter
Title For example Sports day or Mid-term break.
Type Public holiday, Religious holiday, School break, Event, Meeting, Sports, Trip, Exam or Other. Each type has its own colour.
Who is it for? Everyone, Staff only or Parents only.
The school is closed (no lessons) Ticked for you on public and religious holidays and school breaks. My Week, attendance and the lesson report take notice of closed days.
Starts on The first day.
Ends on The last day. Leave it empty for a one-day event.
From, To Optional times.
Only for these classes Leave empty for the whole school.
Repeats every year on this date For fixed-date holidays. Days that move from year to year, like Eid, are added again each year.
Tell parents now Sends the "School event" notice through the channels your school switched on in Messaging settings. Nothing is sent if none are on.
  1. Click Create. You see "Event added".

The events list

Calendar → Events and Holidays is the same information as a table, with When, Title, Type, School closed, For, Classes and Every year.

Events and Holidays

Filter by Type, School closed (Closed or Open) or When (Upcoming or Past). Use the row's Edit to change an event ("Event saved") or Delete to remove it.

More → Download CSV template and Import CSV load many events at once, for example the year's public holidays, with a preview first. Export and Print calendar give you a copy to share.

Who sees the calendar

  • Staff see it in the admin and teacher portals, based on "Who is it for?".
  • Parents see events meant for everyone or for parents, in the parent portal, if School calendar is on in Settings → Parent Portal.
  • The school's public page lists the next three events meant for everyone, if Show what is coming up is on.

If something goes wrong

What you see What it means
Attendance still expected on a holiday The event's The school is closed box is not ticked.
Parents did not get a notice Tell parents now was off, or no channel is switched on in Messaging settings.
An event is missing for parents It is set to Staff only.
A holiday is not there next year Only events with Repeats every year come back. Add moving holidays such as Eid each year.
