Staff ID cards

Preview and print ID cards for teachers and other staff, add photos in bulk, and print QR stickers on their own.

HR → Staff ID Cards is only shown if your package includes the Student ID Cards module — the same module covers both students and staff. It lets you preview a card, print it for one employee, a category, or everyone, and add photos in bulk. The design itself is set in Settings → ID Cards, under Staff cards.

Choose a design

  1. Open Settings, then the ID Cards tab (or click the "Settings → ID Cards" link on the Staff ID Cards page).
  2. Under Staff cards, choose a design.
  3. Turn QR code on the card on or off. If your package does not include QR codes, this is switched off and cannot be changed.
  4. Choose whether the head teacher signature and the valid-until date show on the back.

Staff cards do not have the class or class-type designs students have — every staff member on the school uses the same design.

Preview and print cards

  1. Under Preview, pick a Staff member and click Preview to see their card before printing anything.
  2. Under Print cards, choose Every active staff member or One category (Teacher, Administration, Support staff, Management or Driver), choose Front and back or Front only, and click Open PDF.

The PDF is laid out on A4 sheets ready to cut out. Someone with no photo on their record gets the default avatar instead of holding up the print.

Add photos in bulk

Click Bulk upload photos. Name each picture file with that person's employee number and nothing else, for example E-0041.jpg, then upload up to 150 at once. Each file replaces that person's existing photo. You are told how many photos were matched, and the names of any files that did not match anyone — check those file names and try again.

If QR codes are on, Print QR codes only makes a sheet of just the QR stickers for whoever the Who field is set to. This is handy for replacing one damaged sticker without reprinting a whole card.

If something goes wrong

What you see What it means
The Staff ID Cards page is missing from the menu Your package does not include the Student ID Cards module. Ask about upgrading your package.
QR code on the card cannot be turned on Your package includes ID cards but not QR codes.
A photo did not match anyone The file name must be exactly the person's employee number, with nothing added before or after it.
A staff member's card shows the default avatar That person has no photo yet. Add one from their employee page, or with Bulk upload photos.
Print QR codes only is missing QR codes are switched off for staff cards in Settings → ID Cards.
